Solve problems by writing a note to yourself

Dear, Merlin,

For someone so fond of lecturing other people about their problems, I have a lot of annoying tics (I mean, duh). One of my worst, at least back in the day, was seldom bothering to RTFM before demanding lots of time-consuming help from others.

For years, my court of first resort was almost always to email the smartest, often busiest person I knew about a given topic, alerting them as to their new role as the speed bump between me and solving my problem (cf: the classic Balloon joke). I've gotten better at it over the years, for sure, and, in the age of Google, it's a habit that's easy enough to shed.

The funny thing I eventually realized was that I could and often did find the solution to my problem -- part way through writing the email in which I was asking for help. I realize this sounds kind of silly, but the next time you're having trouble figuring something out, try writing a note to yourself.

Merlin's comments

Email was one of the topics that I was most interested in talking to David about, and I found his responses to my questions thought-provoking.

David makes the case that email is basically just another input -- like voice mail, for example -- that needs to be emptied and processed every day. That it's not substantially different (apart from how badly mostly people do it right now).

While I absolutely agree on processing to zero, I think opinions may differ on the significance of email's impact on the life of the average knowledge worker.

My email diet

GmaillikeI love using Gmail, but until it works with my über IMAP acount, I wouldn't seriously consider switching over.

Still, Gmail's made me see the value of having very few actual folders for storing new and archived mail. It makes it much easier to track and organize your mail on the fly, plus Google's search and labeling tools let you confidently shunt items out of your inbox constantly without fear of having stuff disappear. So I decided to try a little experiment.

As long as we’re on a run with Quicksilver tips, here are a few of the ways that I use Quicksilver that include pieces of the program that many folks aren’t familiar with yet.

Note that these are intermediate to advanced tips, so, again as ever, please look over the documentation (such as it is) and my setup guide—make sure you're using the latest version, read up on Quicksilver, load up on plugins (available via “Preferences > Plugins” in the Tiger version), and make sure you’re running in beta mode before asking for help.

Twyla’s Box: It’s Where Everything Goes

This post by Paul Harrill is a great take on what I've been saucily referring to as, "Twyla's Box." (Yes, again with the Twyla Tharp book.)

I'm sharing it here, because in addition to delivering a thought-provoking slap at the self-abuse of productivity pr0n ("Certainly if you find yourself reading productivity book after productivity book you’re missing the point" [ouch]), it includes a canny synthesis of the overlap between (the best, non-fiddly parts of) GTD and those patterns that seem to help folks like Twyla Tharp to keep making for decades. Nice work, Paul. Loved this (and sorry for arriving so late to the party; I am now subscribed).

Video: Jon Kabat-Zinn on mindfulness and "falling awake"

Jon Kabat-Zinn is the founder of the Center for Mindfulness in Medicine, Health Care, and Society at U Mass, and he's highly regarded for his role in bringing mindfulness into the mainstream of medicine. He's also an illuminating writer and speaker on the ways that mindfulness meditation can improve health and reduce stress.

I really enjoyed this hour-plus talk Kabat-Zinn delivered at Google last year. It's a terrific introduction to meditation that includes a long portion where you can "meditate along," learning how to follow your breath and become more aware of being in the moment. (I doubt I'm the only one who'll benefit from that bit of help today).

Enlightened outsourcing, Part 1: The psychology

I’m Ryan, and you can usually find me in the midst of my workday by following the trail of naked yaks. I fear that I’m drawn to arcane tasks not in spite of the fact that they are tangential to my ultimate goals, but precisely because they give me an excuse to avoid them. I don’t need to grapple with the big anxiety-evoking issues of how to make a new one of my companies make more money, for example, if I can instead focus on creating an elaborate triply-redundant, auto-rotating archival filing system for our Apache server logs (which we never look at.)

However, I recently encountered a weirdly tantalizing idea in Tim Ferriss’s The 4-Hour Workweek, which would ultimately disrupt my addiction to the extraneous. The book advocates farming out the more mundane tasks of your existence to outside firms and consultants, which Ferriss calls “outsourcing your life.” Probably because it would give me an excuse not to do something else more pressing, I decided to give this a go a few months ago. While I did learn quite a lot about outsourcing in the process, my experiments led me to a far grander epiphany about the way I approach life and work generally and helped me form a new set of habits that have utterly rocked my workaday world. I’m about to introduce you to the theory and practice of what I believe to be the forgotten Prime Minister of All Productivity Hacks: asking for help.

43F Recap: Best of iCal Tips

Wow. It's been over nine months since I quit Entourage in favor of the kGTD/iCal productivity tag-team. In that time, I could have had an infant, finished a school year, or been responsible for a couple failed sitcoms. (I mean: if I had a uterus, was still in college, and were, say, McLean Stevenson)

Yes, friends, I do still spend a lot of my day shaking my hammy fist in impotent rage at iCal's numerous shortcomings, but I've reached a kind of détente with Apple's stock calendaring app, and along the way I've discovered some modest ways to squeeze more drops of Cupertino-y goodness from its moist Jolly Rancher-like pages. Here's a few of my favorites.

  • Getting more out of iCal - "The truth is, iCal works great with kGTD (mostly of course), and once you make your peace with the perplexing stasis of its feature set, there are some not-bad hooks and affordances hiding in its pastel, roundy corners. Here’s a few I like."
  • HOWTO: Flag “penciled-in” events in iCal - "When I create the event, I just put a Spanish-language question mark “¿” (hit: OPTION-SHIFT-?) in front of the event’s title. Like so..."
  • Schedule (and choose) a dash in iCal "If you start the name of the task with the number of minutes in the dash, you have a very easy to way to see items that can be knocked down quickly (hint: sort “To Dos by Title”)."
  • Dr. Contextlove or: “How I stopped worrying and learned to love iCal” - "But why bother with organizing these into meta-groups? Ah, because it makes it so easy to reveal or hide all the tasks that I can work on at a given time, just by ticking the group’s little click box."
  • Kinkless GTD .83: Enhances Quicksilver and iCal integration, much more "I really like to plan in kGTD and then do out of iCal since it reduces the amount of fiddling and meta work temptation. That doesn’t mean, however, that I wouldn’t benefit from a little extra backward integration."

How to use a single Mail.app Archive (without losing your mind)

For some time now, I've encouraged people to consider abandoning the byzantine folder structure that most of us used to employ to "organize" our email. In fact, this kind of functional simplicity is something I've started to think of as a pillar of Inbox Zero.

In addition to helping explode the myth that most email messages have any life once their actions have been liberated, it's a healthy habit to actively remove any unnecessary systematic fiddling that doesn't handsomely pay back the effort that habitually goes into it.

And, as ever: yes, some of you -- because of the incredibly unique nature of your work in an office -- will need to have 500 taxonomic mailboxes, a monthly archives by project, a person-by-person collection going back to 1983, and a multiply-copied CC'd team archives, coded by color and identified with helpful icons you found on Gopher in 1992. Sure, why not. If that's working for you, by all means, keep fiddling and filing.

But, if you're ready to admit you might be turning a crank that's potentially not hooked-up to anything, here's my four favorite ways to leverage the intelligence of Mail.app for drop-dead simple archiving.
