GTD: Priorities don't exist in a vacuum

If you're a fan of Getting Things Done, you're familiar with the Four Criteria Model for choosing tasks. It's where the rubber meets the road in GTD, because it's the way you decide, in the moment, how any one of those wonderful tasks you've been tracking in your big system actually gets done.

As common sense as it seems to GTD'ers, this model is one of the more controversial aspects of Getting Things Done for a simple reason: it posits that priority is not the only factor in deciding what to do at a given time. It's just one of four factors, which include, all told:

  1. Context - Where are you? What tools are available? What are the limits and possibilities unique to this moment?
  2. Time available - Do you have, for example, 30 seconds, 30 minutes, or 30 hours available to you right now? What tasks could you accomplish given the time you have?
  3. Energy available - Are you full of energy, is your ass dragging, or are you somewhere in between? Which of the tasks on your list could you finish, given that energy level?
  4. Priority - If you had access to all the tools, opportunities, time, and energy you needed, what's the most important or time-sensitive thing you could do right now?

When I'm helping coach people on getting it together, they're often puzzled by this seeming bit of new-agery -- partly, I suspect, because most of us have been conditioned all our lives to think that pre-ordained Priority stamps always trump everything, all the time, always, forever, in all cases, end of story. But is it true, reasonable, or even physically possible to always work this way? Can you will yourself into doing only your identified high-priority items anytime, all the time?

iPhone Apps I'd Totally Buy

Also, as we mentioned on MacBreak Weekly yesterday, it seems likely that we're just seeing the tip of the iceberg in terms of what people will do with that SDK.

But it got me thinking about the stuff I want -- the itches I want to scratch. So, iPhone developer friends. Please make these three apps.

Open Thread: Your best tip on doing presentations

As I mentioned yesterday, I'll be leading a discussion on Tinderbox and "the trusted system" tomorrow. Probably running a few Keynote slides, but mostly just casually chatting with a small group of enthusiastic Tinderbox fans.

I'm not a seasoned public speaker by anyone's estimation, so I've made my share of rookie mistakes in the past (hint: avoid doing a rambling, overlong talk without slides at ETech; people get confused, hungry, and eventually want to defenestrate you).

So, as I prep myself for tomorrow, I turn to you guys:

What's your best presentation tip? What's the "never break it" rule for PowerPoint/Keynote decks? What's your favorite site, article, or link on great presentations? How do I get that Lessig-, Jobs-, or Veen-like fu that makes audiences so giddy? (Self-links are okay within reason here)

I'll be over here imagining people in their underwear, but I'd love to hear your best advice on this stuff.

Making Time to Make: Bad Correspondence

Over the years, novelist Neal Stephenson (wiki), has had at least a couple different pages where he's explained why he's chosen to limit the access he provides via email, interviews, and phone calls. It appears to be something he's given a lot of thought to.

Via Jessamyn, here's an Archive.org mirror of an older version of his page where he explains his introversion and need to stay focused on his work, alongside FAQs that answer many of the questions he typically has to field. Read it all though. It's pretty good. Stephenson's bottom line?

I simply cannot respond to all incoming stimuli unless I retire from writing novels. And I don't wish to retire at this time.

And here's another well known piece, Stephenson's "Why I am a Bad Correspondent", in which he lays out more details about why he's chosen to create an expectation based on guarding his attention so slavishly:

Recap: Becoming an Email Ninja

Here are a few of my favorite (and the site's most popular) posts on that heated topic of email -- how to better deal with email as a recipient, and how to improve the lives of others as a better sender. Email is a subject that invigorates (and occasionally infuriates) me, so get ready for plenty more in the future. But if you're one of the seemingly innumerable people who's snowed under by email or unsure how to deal with it at a responsible level, flip through a few of these oldies, and see if any ideas jump out at you.

Making Time to Make: One Clear Line

Tick tock.Could an email recluse like Neal Stephenson just cowboy up by agreeing to a monthly chat session or the occasional visit to a fan forum? Sure, he could. Could a volunteer intern scan Neal’s email once a week for particularly wonderful notes? You bet. Could he even conceivably just drop all the blast shields, open a chat room, “livestream” from his desk, and then spend the rest of his life answering questions from people with nothing better to do? Maybe. Sure. But, probably not. He’s already told us as much, hasn’t he?

The point, from my perspective, is that Stephenson possesses the man-sized pant stones to declare precisely what the people who enjoy his work should expect from him. And, in so doing, he has drawn a clear line that some might find hard to love, but that is very easy to see, understand, and respect. No, he didn’t hire someone to answer his email, or get a kid to pretend to be him on Twitter, or install a Greasemonkey script that “autopokes” people on Facebook (I’ll leave you to guess which two of these I do).

Neal Stephenson essentially said, “Listen, gang, here’s what I’m going to make for you: novels.” And then, he went back to typing. To working. On work.

How to get organized and stay that way

When I was up in Toronto last week, I was interviewed by Samantha Grice from the National Post about 43 Folders, productivity stuff, and the sad sorry state of my own day-to-day productivity. Very "Brady's Bits."

As a sidebar to the little profile she wrote, Samantha also asked me to draft a few words on my favorite fast tips for getting it together.

Although these will each be painfully old news for you who've been with 43F for a while, I wanted to share the original draft of what I came up with, because it's sufficient as a cocktail-napkin version of what I think 43 Folders has to say to people. You may share it with the disorganized and confused in your own life, if you like.

I also loved the limitations of this particular exercise: 300 or so words in five bullets that represent my best day-one tricks. Due in minutes. My kind of challenge. Although I did go over on word count, and I'll own that.
