Quick tips on processing your email inbox

Gotten a lot of messages since the email productivity post asking for more detail on how I process my email Inbox. Here’s a very brief overview from a response in the Google Group. The basic idea is to firewall processing as a discrete phase you go through no more than every hour or two at the most. For God’s sake, don’t live in your Inbox if there’s any way you can avoid it. Processing determines as quickly as possible what, if anything, to do with each piece (in ascending order of urgency and importance):

Look back at a week of your emails and ask yourself: how many distractions was that really worth? [...] A few days before leaving for a two-week trip, I felt so overwhelmed by the number of little tasks that had to be taken care of before leaving that I decided to start looking into this whole Getting Things Done movement seriously. I started off with cleaning out my three inboxes of about 200+ pending emails following the simple rules set out by Merlin Mann in this 43 folders post. I left September 15 with a very clean inbox, and came back on September 30 with a very manageable number of pending emails, mostly the stuff that I couldn’t take care of because I had only intermittent access to the internet while I was traveling.
