HDD Folder oranization

How is everyone organizing their electronic data? I started out years ago with MS Outlook and hit the 2G limit early on so I ended up having to archive data monthly which resulted in a folder structure based around monthly archives like this:

2006
. Jan
. Feb
. .
. .
. Dec
2005
. Jan
. Feb

So I started following this structure and would store other files such as bank statements, pictures, invoices, etc in those folders. Problem now is finding anything I have to wait for a search to crawl through all those folders or remember when I did something or have some sort of index to it. I usually end up just hunting through the various years and months looking for what I want rather than keeping an index up to date so I'm looking for better suggestions as to how to organize inportant files.

I can't recall a disk failing in any of my PowerBooks or iBooks over the decade or so that I've had them.

And when you are sending something in for support, it goes to Apple and THEY are the ones that are doing swaps and such, so it doesn't have to be user-accessible.

Maybe easily user-accessible translates to easily user-breakable.

Doesn't seem to work that way. I've had too many customers who have had to send their Apple laptops back multiple times (usually not for a hard disk problem though).
But what about upgrading the hard drive, I usually at least double in size each year, so my three year old laptop has had three drives in it now. Making the hdd less accessable actually causes more service issues because people have to tear more into the system to upgrade it. If it was on a removeble tray like most decent systems then users can swap it without risk of damage to the rest of the system.

Thats what I'm talking about, upgrades not repairs dur to failing drives or memory. Espically is the system is intended to run a long time, then your more likely to want to upgrade the storage or ram to keep the system longer.
