You need to take Action X when a certain invoice arrives. You can't use a tickler or an alarm reminder because you don't know the date upon which the invoice will arrive. You could put a reminder in a Holding Until... device, but you have lots of similar pending actions. Daily review of Holding Until is time-consuming. What's the best way to deal with this? dp 5 Comments

About half a dozen invoices come through each day, and only 1 or 2 invoices per month require special treatment. If the invoice moves on to the business office before the review process reminds me to give it special treatment, then it's too late. It seems that in this case, the review process functions contra-GTD theory. Rather than allowing me to get it out of my mind, it serves as a means of keeping it IN my mind, which is the very thing I wish to avoid. But I think I've found a GTD-consistent solution. I've modified the accounting database to permit flagging specific transactions. Since I can't process the invoice without calling up the transaction in the database, I should notice the flag at the time of processing. Thanks for the feedback. » POSTED IN:
