Thanks everyone for your replies about contexts. It was very interesting to see into your minds and how you use the system to fit your life. It was very instructive and helped me tweak my system. Today I wanted to ask you how your day actually looks. When do you process your in-box? Do you do it several times a day, or when something comes in, or when it reaches a certain height? when you are out and about and can't put things into your system, you just jot a note like "make grocery list" or "email Stephano" and then chuck it in your in-box when you get back? Do you write your notes on cards? post-its? in a notebook? do you tear out the notebook sheet and toss that in your in-box? I know that there is no one right way to do it, so I want to see the range of approaches and how it works for you. I think that will help me focus in on how to work my system. I'm doing kGTD, iCal, Eudora mail and a physical tickler file. I don't use my PDA nor a hPDA, only my cell phone. I am not a big fan of paper notes because they never worked for me before, but I am open to it now that I have a "system". Thanks 35 Comments

My main tools are a moleskine notebook and 3x5 cards. My 'inbox' is at the front of the moleskine, where I can scribble anything down in free form. At the back I date the pages into the future and use that as an ad hoc calendar, like so: http://static.flickr.com/53/132314239_5468fe0323_m.jpg[/img"> On Monday mornings I 'sync' my electronic calendars (one for work and one for home) with my moleskine calendar, so that I have copies of my 'hard landscape' to hand. Emails aside (which I have gone on about at great length in other threads) I do a quick daily review every morning, which involved emptying and processing my physical inbox and any notes I have in my moleskine, generating actions that go onto my 3x5 index cards, or entries in the calendar part of my moleskine. I think that I have to process my email inbox more regularly than once a day but I also want to avoid working in 'reactive' mode - that still needs to be resolved. On Friday afternoon I do a more complete review that includes scanning through my projects, chasing up anything on my 'waiting' list and so on. I have only actually done this once so far - last Friday - so I do not know whether that will give me the right balance yet. I have still to decide how to represent my projects. I have lists right now but I am quite enamoured with the idea of keeping little project summaries (even just a name, a purpose / goal, and a context) on 3x5 cards. I probably need to get a bit more experience at doing weekly reviews before I can get a feel for the best format. » POSTED IN:
